At Vulcan Equestrian, we stand behind the craftsmanship of every piece we make. If you are not completely satisfied with your purchase, we offer a straightforward return and exchange process within the terms outlined below.
Return Window
You have 30 days from the date of delivery to initiate a return or exchange. Returns requested after 30 days will not be accepted.
Eligibility Requirements
To be eligible for a return or exchange, items must be:
- Unworn, unwashed, and free from any signs of use, including (but not limited to) horse hair, dirt, odor, sweat, saddle wear, stirrup marks, makeup, or deodorant marks
- In original condition with all original tags attached
- Returned in original packaging where possible
- Accompanied by proof of purchase (order number or receipt)
We reserve the right to refuse any return that does not meet these conditions. Items that fail inspection will be returned to the customer at the customer's expense.
Final Sale Items
The following items are final sale and cannot be returned or exchanged:
- Items marked "Sale," "Final Sale," or "Clearance"
- Base layers and any garments worn directly against the skin (for hygiene reasons)
- Custom, personalized, or monogrammed items
- Gift cards
- Items returned outside the 30-day window
- Items showing any signs of wear or use
How to Initiate a Return or Exchange
- Email carson@vulcanequestrian.com with your order number and reason for return.
- We will issue a Return Merchandise Authorization (RMA) and a prepaid return shipping label.
- Pack the item(s) securely with all original tags attached.
- Drop the package at the designated carrier location.
Returns shipped without an RMA may not be processed.
Return Shipping
We are pleased to offer free return shipping on all U.S. orders. Once you receive your RMA, we will provide a prepaid shipping label. We recommend retaining your tracking number until your refund or exchange is processed.
International return shipping (when international shipping becomes available) is the responsibility of the customer. Original shipping charges and any duties or taxes paid are non-refundable on international orders.
Refunds
Once your return is received at our facility, please allow 5 to 10 business days for inspection and processing. After approval, refunds are issued to the original payment method only. Depending on your bank or credit card provider, it may take an additional 3 to 7 business days for the refund to appear on your statement.
We do not issue refunds to alternative payment methods, gift cards, or third-party accounts.
If your return does not meet our eligibility requirements, we will notify you and return the item to you at your expense.
Exchanges
We are happy to exchange items for a different size or color, subject to availability. To request an exchange, follow the same steps as a return and indicate the desired replacement item in your email. If the replacement item is unavailable, we will issue a refund to the original payment method.
Defective or Incorrect Items
If you receive an item that is defective, damaged in transit, or different from what you ordered, please contact us at carson@vulcanequestrian.com within 7 days of deliverywith:
- Your order number
- Photos clearly showing the defect or issue
- A description of the problem
We will arrange a replacement or full refund, including any return shipping costs, at no charge to you.
Please note: normal wear and tear from riding (including but not limited to abrasion from saddles, stirrups, or boots; fading from washing; and stretching from regular use) is not considered a manufacturing defect and is not covered under this policy.
Lost or Stolen Packages
Once a package is marked delivered by the carrier, Vulcan Equestrian is not responsible for lost or stolen items. If your tracking shows delivered but you have not received your order, we recommend:
- Checking with neighbors and household members
- Contacting the carrier (USPS, UPS, or FedEx) to file a claim
- Filing a police report if theft is suspected
We strongly encourage all customers to add shipping protection at checkout for coverage against loss, theft, or damage in transit.
Price Adjustments
We do not offer price adjustments on previous purchases. Promotional discounts and sales apply only to orders placed during the active promotional period.
Chargebacks
If you have a concern about your order, please contact us directly at carson@vulcanequestrian.com before initiating a chargeback or dispute with your bank or credit card provider. We are committed to resolving issues quickly and fairly. Filing a chargeback without first attempting to resolve the matter with us may delay resolution and may result in suspension of future orders.
Gifts
If an item was marked as a gift at the time of purchase and shipped directly to you, you may be eligible for a gift card refund equal to the value of the returned item. The original purchaser will not be notified. If the item was not marked as a gift, the refund will be issued to the original purchaser.
Right to Refuse
Vulcan Equestrian reserves the right to refuse returns, exchanges, or future orders from customers who, in our reasonable judgment, are abusing this policy, including but not limited to: excessive return frequency, returns of clearly worn merchandise, or fraudulent claims.
